INTRODUCTION

Paperless Innovations, Inc. (“we” or “us” or “our”) respects the privacy of our users (“user” or “you” or “individual”). We are committed to protecting the privacy of individuals in accordance with applicable privacy laws. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our websites www.paperless-innovations.com and act.us, including any other media form, media channel, mobile website, or mobile application related or connected thereto (collectively, the “Site”). Please read this privacy policy carefully. If you do not agree with the terms of this privacy policy, please do not access the site.

Scope: This Privacy Policy is relevant to:

  • Any user of, or visitor to, Paperless Innovations, Inc. websites or other online services or products (“Online Services”)
  • Individuals who share their business contact information and other personal information with Paperless Innovations, Inc. during events including tradeshows or conferences, or for other business purposes, including customer services and product or laboratory services, such as current or prospective customers and their representatives; and
  • Any members of the public who interact with Paperless Innovations, Inc. and individuals with whom we do business, including, but not limited to, staff of regulatory authorities and suppliers and visitors to our sites and offices

We reserve the right to make changes to this Privacy Policy at any time and for any reason. We will alert you about any changes by updating the “Last Updated” date of this Privacy Policy. Any changes or modifications will be effective immediately upon posting the updated Privacy Policy on the Site, and you waive the right to receive specific notice of each such change or modification.

You are encouraged to periodically review this Privacy Policy to stay informed of updates. You will be deemed to have been made aware of, will be subject to, and will be deemed to have accepted the changes in any revised Privacy Policy by your continued use of the Site after the date such revised Privacy Policy is posted.

Paperless Innovations, Inc. Privacy Standards

Across all our business activities we recognize and seek to base our privacy practices on accepted principles utilized by various regulatory and industry groups. In summary, these principles are as follows:

  • Collection Limitation: To obtain personal information by lawful and fair means and, where appropriate, with the knowledge and consent of the individual about whom we process personal information.
  • Data Quality: To process personal information that is accurate, complete and up-to-date (taking into account the purposes for which it was collected).

COLLECTION OF YOUR INFORMATION

Paperless Innovations, Inc. may process information about you and may collect this information from various sources, including, but not limited to, personal information you actively share with us, personal data about you shared by your institution or company, or personal information about you collected through publicly available sources and authorized third parties with whom we have a business relationship. We may also generate further information about you based on the information collected from other sources.

Personal Data You Actively Submit

Personally identifiable information, such as your name, shipping address, email address, and telephone number, or any demographic information that you voluntarily give to us when you register with the Site, or when you choose to participate in various activities related to the Site, such as online chat and message boards. You are under no obligation to provide us with personal information of any kind, however your refusal to do so may prevent you from using certain features of the Site.

  • If you create an account, order products, register for services, or otherwise submit data to Paperless Innovations, Inc., we will collect information about you and the company or other entity you represent (e.g., your name, organization, address, email address, phone number, fax number).
  • You may also provide information such as payment information to make a purchase, shipping information to receive a purchase, completing a survey to help us improve our products and services, or a resume to apply for employment. In such instances, you will know what personal information is collected by us, because you will have actively submitted it.
  • We may collect and process contact information that you provided directly to us (e.g., your name, email address, phone number and business address) through online or offline channels, including where you interact with our systems and services or provide such information in person during tradeshows, networking events, conferences, and similar events, and information about your business and its interactions with Paperless Innovations, Inc.
  • We may collect details of your customer service requests and feedback on your experience with these and other services.
  • We may also collect and process audio recordings of calls to customer service centers.
  • If you visit our sites and offices, we may collect and process information about you (e.g., your name and company name) to register you in our systems, help us with screening our visitors, and provide you with appropriate access credentials. We may also collect CCTV images for the purposes of access control and site security.
  • Where permissible in accordance with applicable law, we may collect biometric data (e.g. fingerprints) to improve the operation of, or enable access to, certain products.

Derivative Data

Information our servers automatically collect when you access the Site, such as your IP address, your browser type, your operating system, your access times, pages you have visited on the Site, data transferred, amount of time you spend on the Online Services, information about actions and transactions conducted, and the pages you have viewed directly before and after accessing the Site. If you are using our Site from a mobile device, this information may also include your device name and type, your operating system, your phone number, your country, your likes and replies to a post, and other interactions with the Site and other users via server log files, as well as any other information you choose to provide such as geolocation data. This data is generated and collected automatically, as part of the standard operation of the Online Services and will only be processed in accordance with applicable laws and regulations.

We may collect personal information about you related to your interests or work (e.g., your position, specialty and publications) from publicly available resources such as company, university, and publication websites, social media and other digital platforms, national registries and professional databases or directories, or third-party vendors who act on our behalf, in accordance with relevant laws and regulations. We may collect certain information about you from your company, (e.g. your position, department, contact details, company address) and other information specific to your order or interests.

Financial Data

Financial information, such as data related to your payment method (e.g. valid credit card number, card brand, cardholder name, expiration date) that we may collect when you purchase, order, return, exchange, or request information about our services from the Site. We store only very limited, if any, financial information that we collect. Otherwise, all financial information is stored by our payment processors, including Stripe and First Data Merchant Services (Fiserv), and you are encouraged to review their privacy policy and contact them directly for responses to your questions.

Mobile Device Data

Device information, such as your mobile device ID, model, and manufacturer, and information about the location of your device, if you access the Site from a mobile device.

Third-Party Data

Information from third parties, such as personal information or network friends, if you connect your account to the third party and grant the Site permission to access this information.

Data From Contests, Giveaways, and Surveys

Personal and other information you may provide when entering contests or giveaways and/or responding to surveys.

USE OF YOUR INFORMATION

  • If you do not wish to receive such marketing emails, you may opt out by declining to receive such emails when registering and in our subsequent communications by following opt-out instructions included in such emails or at other information collection points on the Online Services.
  • We may collect personal information about you (e.g., your position, specialty and publications) from publicly available resources such as company, university, and publications websites, and combine it with personal information we have collected about you, to enhance our customer profile of you in support of our sales and marketing activities.
  • We may process recordings of your calls with our customer services representatives to ensure we deliver high-quality service, assist in the training and development of Paperless Innovations, Inc. and subcontractor representatives, and generally improve our customer service to you.
  • We may make customer offers to you based on your activities across different Online Services including activities on other web or digital properties your other interactions with Paperless Innovations, Inc. that are not via the Online Services (e.g. regional offers based on the location of your office listed on order forms).

We also perform statistical analyses of the users of our Online Services to improve the functionality, content, design, and navigation of the Online Services.

We may share information we have collected about you in certain situations. Your information may be disclosed as follows:

By Law or to Protect Rights

Third-Party Service Providers

Service providers acting on our behalf shall be obliged to adhere to agreements including confidentiality requirements no less protective than those described in this Privacy Policy and any relevant contract with your organization, and will only process personal information as necessary to perform their functions in a manner consistent with this policy, other applicable privacy notices, and as explicitly permitted or required by applicable laws, rules and regulations.

Marketing Communications

With your consent, or with an opportunity for you to withdraw consent, we may share your information with third parties for marketing purposes, as permitted by law.

Interactions with Other Users

If you interact with other users of the Site, those users may see your name, profile photo, and descriptions of your activity, including sending invitations to other users, chatting with other users, liking posts, following blogs.

Online Postings

When you post comments, contributions, or other content to the Site, your posts may be viewed by all users and may be publicly distributed outside the Site.

Third-Party Advertisers

We may use third-party advertising companies to serve ads when you visit the Site. These companies may use information about your visits to the Site and other websites that are contained in web cookies in order to provide advertisements about goods and services of interest to you.

Affiliates

We may share your information with our affiliates, in which case we will require those affiliates to honor this Privacy Policy. Affiliates include Intramalls and any subsidiaries, joint venture partners or other companies that we control or that are under common control with us.

Business Partners

We may share your information with our business partners to offer you certain products, services, or promotions.

Other Third Parties

We may share your information with advertisers and investors for the purpose of conducting general business analysis. We may also share your information with such third parties for marketing purposes, as permitted by law.

Sale or Bankruptcy

If we reorganize or sell all or a portion of our assets, undergo a merger, or are acquired by another entity, we may transfer your information to the successor entity. If we go out of business or enter bankruptcy, your information would be an asset transferred or acquired by a third party. You acknowledge that such transfers may occur, and that the transferee may decline to honor commitments we made in this Privacy Policy.

We are not responsible for the actions of third parties with whom you share personal or sensitive data, and we have no authority to manage or control third-party solicitations. If you no longer wish to receive correspondence, emails, or other communications from third parties, you are responsible for contacting the third party directly.

TRACKING TECHNOLOGIES

Cookies and Web Beacons

We may use cookies, web beacons, tracking pixels, and other tracking technologies on the Site to help customize the Site and improve your experience. When you access the Site, your personal information is not collected through the use of tracking technology. Most browsers are set to accept cookies by default. You can remove or reject cookies but be aware that such action could affect the availability and functionality of the Site. You may not decline web beacons. However, they can be rendered ineffective by declining all cookies or by modifying your web browser’s settings to notify you each time a cookie is tendered, permitting you to accept or decline cookies on an individual basis.

The Site may contain links to third-party websites and applications of interest, including advertisements and external services, that are not affiliated with us. Once you have used these links to leave the Site, any information you provide to these third parties is not covered by this Privacy Policy, and we cannot guarantee the safety and privacy of your information. Before visiting and providing any information to any third-party websites, you should inform yourself of the privacy policies and practices (if any) of the third party responsible for that website, and should take those steps necessary to, in your discretion, protect the privacy of your information. We are not responsible for the content or privacy and security practices and policies of any third parties, including other sites, services or applications that may be linked to or from the Site.

SECURITY OF YOUR INFORMATION

We use administrative, technical, and physical security measures to safeguard any information you provide through the Online Services, and to protect it from unauthorized access, loss, misuse or alteration. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse. Any information disclosed online is vulnerable to interception and misuse by unauthorized parties. Therefore, we cannot guarantee complete security if you provide personal information. In addition, it is your responsibility to safeguard any passwords, ID numbers, or similar individual information associated with your use of the Online Services.

HOW LONG WE KEEP YOUR INFORMATION

We generally retain personal information for as long as needed for the specific business purpose or purposes for which it was collected. In some cases, we may be required to retain personal information for a longer period of time by law, by contract requirements, or for other necessary business purposes. Where possible, we aim to anonymize the information or remove unnecessary identifiers from records that we may need to keep for periods beyond the specified retention period.

POLICY FOR CHILDREN

We do not knowingly solicit information from or market to children under the age of 18. If you become aware of any data we have collected from children under age 18, please contact us using the contact information provided below.

CONTROLS FOR DO-NOT-TRACK FEATURES

Most web browsers and some mobile operating systems include a Do-Not-Track (“DNT”) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. No uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Policy. Most web browsers and some mobile operating systems include a Do-Not-Track (“DNT”) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. If you set the DNT signal on your browser, we will respond to such DNT browser signals.

OPTIONS REGARDING YOUR INFORMATION

Please note that in many circumstances we cannot effectively do business with you without processing some personal information about you (e.g. your contact information).

You can use the Online Services without consenting to cookies (unless strictly necessary); the consequence is that some features of the Online Services may be less tailored to you, and some functionality may be reduced.

You have the right to opt out of receiving marketing communications. Please use the unsubscribe functionality on such communications.

We will make reasonable efforts to respond promptly to your requests in accordance with applicable laws.

When you contact customer service representatives, we may require you to provide information able to authenticate your identity in order to assist you with your request. If you are unable to provide this information, we may be unable to process your request.

When we receive your personal information from our customers and process your personal information on their behalf, we do so in the capacity of a processor. We do not have control over our customers’ privacy and security practices and processes. If your personal information has been submitted to us by a Paperless Innovations, Inc. customer and you wish to exercise any of the above-mentioned rights, please contact the relevant customer directly, or provide us with the name of the customer so that we can appropriately refer your request to them.

Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. CALIFORNIA PRIVACY RIGHTS

California Civil Code Section 1798.83, also known as the “Shine The Light” law, permits our users who are California residents to request and obtain from us, once a year and free of charge, information about categories of personal information (if any) we disclosed to third parties for direct marketing purposes and the names and addresses of all third parties with which we shared personal information in the immediately preceding calendar year. If you are a California resident and would like to make such a request, please submit your request in writing to us using the contact information provided below.

If you are under 18 years of age, reside in California, and have a registered account with the Site, you have the right to request removal of unwanted data that you publicly post on the Site. To request removal of such data, please contact us using the contact information provided below, and include the email address associated with your account and a statement that you reside in California.
